It is mutually agreed that the booking form and the following terms and conditions of agreement form an integral part of the contract, that bookings are accepted on these terms and conditions only, and that no variation or modification of this contract shall be effective unless accepted in writing by both parties.

Bookings

Bookings must be made a minimum of 4 weeks in advance of the initial filming date. Dates falling closer than 4 weeks of the booking date may be subject to additional fees or may be unavailable.

Deposit & Payment

A deposit of £150 is required to confirm your booking and block the date. Full payment of the remaining balance is required no later than 14 days before the first filming date. All prices are fully inclusive of VAT (where applicable) and are fixed at the time of booking.

Cancellation

Should the client need to cancel a previously confirmed booking, the following charges will be applicable:

• Within 4 weeks prior to the filming date: Full balance is chargeable.
• Within 12 weeks prior to the filming date: 50% of the full balance is chargeable.
• Outside of the 12 weeks prior to the filming date: No further payment will be sought.
• Deposits are non-refundable.

Refund Policy

Deposits are non-refundable.

In the unlikely event that footage fails to materialise due to any cause, liability will be limited to the refunding of monies paid.

Java Productions cannot be held responsible, or provide refunds, for the lack of coverage caused by any person of the client's party being delayed for any reason, or on the policies of the location or adverse weather conditions which limit the scope of videography.

For wedding videography, some venues and churches may have restrictions or limited camera placement which will need to be complied with. Java Productions cannot be held responsible for any issues arising from these imposed restrictions.

Java Productions reserve the right to terminate a contract at any time for any reasonable cause (e.g. accidents, emergencies or exceptionally ill health). In this event, Java Productions will refund all monies in full including the deposit.

Footage Release

The client hereby allows Java Productions to display, for advertising and/or promotional purposes, any imagery realated to the client's video unless prior agreement has been made in writing by both parties.

The client is responsible for ensuring that all consents are given and required fees are paid which allow Java Productions to carry out the agreed services. This includes, but is not limited to, permission to film in the chosen locations and permission of persons involved in the event including any entertainment such as singers or bands. Java Productions can provide release forms on request.

The client is responsible for notifying Java Productions of any consent issues at least seven (7) days prior to filming.

Location Access

The client is responsible for arranging access for Java Productions to venues at least one (1) hour prior to scheduled start of filming.

The client is responsible for ensuring Java Productions has permission to film at the desired location and that any restrictions on filming are fully communicated to Java Productions prior to the date of filming. Java Productions can provide location release forms on request.

Recorded Media

It is agreed that it is the sole responsibility of the client to backup and store any supplied DVD or BluRay discs for future use. No liability can be held for loss or damage to discs after safe delivery to the client.

No responsibility will be accepted for discs which do not play in generic DVD or BluRay players. However, Java Productions will make every effort to resolve such issues.

All recorded footage and memory cards remain the property of Java Productions.

Upon taking possession of the finished DVD/BluRay disc(s), you will inform Java Productions of any errors relating to the discs within 14 days. If no notification has been received, you will be deemed to be satisfied with the product. Java Productions will use all reasonable efforts to deal with any issues you raise and if justified and can be remedied, will do so.

Java Productions will be the exclusive video production company for your event. Friends and family are permitted to operate video cameras on the condition that they do not interfere with or get in the way of the professional coverage.

Raw Footage & Editing

The final edit of all source materials is at the sole discretion of Java Productions. Whilst every effort will be made to capture significant parts of the event and scenes requested by you (unless in a scripted environment), the decision as to what is included in the final recording and subsequent edit is at the absolute discretion of Java Productions.

Copyright of the final edited version of the video will remain the property of Java Productions.

Please take care to ensure all spelling of names is correct on the Booking Form. Correcting spelling mistakes resulting from incorrectly supplied information on the Booking Form or any other material may be chargeable.

Requested changes to generic template graphics will be chargeable.

For wedding videos: It is normally requested that the dance floor lighting is slightly raised for the first dance in order to film it effectively. Sometimes this request is denied either by the venue or the client. Such circumstances may result in this footage being under exposed and, in some cases, can affect the sharpness of the video.
